Template columns

Keep the sheet simple and import-ready.

The best seating chart spreadsheet is easy to scan, easy to update, and free of details guests do not need.

First Name

Required. Use the guest's given name exactly as they are likely to search it.

Last Name

Recommended. This helps guests search by either first name, last name, or full name.

Table

Required. Use the table name or number guests should see after lookup.

Room or Area

Optional. Useful for venues with a ballroom, patio, garden room, terrace, or section.

Meal Preference

Optional. Keep this limited to notes your event team actually needs.

Why names matter

Reunela is designed around private lookup. Guests search by first name, last name, or full name, so clean names make event-day lookup smoother.

Before importing

A quick cleanup pass saves stress later.

Use one row per guest.

Keep table names consistent, such as Table 1, Table 2, or Head Table.

Avoid private notes that guests should not see.

Check spelling for names guests may search.

Save the finished file as CSV before importing.

From spreadsheet to QR code

Turn the finished sheet into a searchable guest page.

Once the guest list is ready, import it into Reunela, customize the guest page, and share one live QR code.
